Scope

This policy explains how we collect, use, store and protect personal information relating to parents, guardians, children, website visitors and customers.

Information We Collect

Parent/guardian names, email addresses, telephone numbers, addresses, booking and membership details, Direct Debit mandate and payment status records, child names, ages, school years, rugby club information, medical information, allergy information, medication information, dietary requirements, emergency contacts, attendance records, marketing preferences, photographs and videos where consent is provided, and website analytics information.

How We Collect Information

Through website forms, booking forms, payment processes, camp registrations, direct communications, consent forms and website technologies.

Lawful Bases

We rely on the following lawful bases under the UK GDPR: (1) Contract, or steps taken at your request before entering a contract, to manage bookings, memberships, payments and to deliver camps and sessions; (2) Legal obligation, where we must keep records for accounting, tax, safeguarding or regulatory purposes; (3) Legitimate interests, for running and improving our services, maintaining records, site security and ensuring children's safety, balanced against your rights and interests; (4) Consent, where we ask for it, for example for photographs and videos or for marketing emails where the soft opt-in does not apply. You may withdraw consent at any time.

How We Use Information

To manage bookings, deliver camps and coaching sessions, communicate operational information, process payments via Stripe, administer safeguarding processes, manage medical needs, improve services, maintain records, comply with legal obligations, and send marketing updates where consent has been provided.

Marketing Communications

Where permitted, we send information about More Rugby camps, sessions and related activities. Where you have given explicit consent, or where the UK 'soft opt-in' applies (see below), these are marketing emails and you can stop them at any time using the unsubscribe link in every marketing email or by contacting hello@morerugby.co.uk.

The Soft Opt-In (PECR)

Under the Privacy and Electronic Communications Regulations (PECR), we may email you about our own similar camps and sessions without separate consent where we obtained your contact details in the course of a sale or negotiation of a sale of a service, for example when you booked a camp or enquired about one, and we only market our own similar activities. An opt-out is offered when your details are collected and in every marketing email. You can object at any time and we will stop.

Service Communications vs Marketing

Operational emails relating to a booking, waiting-list place or register-interest enquiry, such as booking confirmations, session times, payment reminders, safeguarding or cancellation notices, are service communications sent to perform our contract with you or take steps at your request. These are sent independently of your marketing choice and are not affected if you opt out of marketing.

Your Right to Object to Direct Marketing

You have an absolute right to object to direct marketing at any time. Objecting will never disadvantage you or affect your bookings, memberships or access to our services. To object, use the unsubscribe link in any marketing email or email hello@morerugby.co.uk. Once you object, we will stop marketing to you. We may retain the minimum suppression data needed (for example your email address and suppression status) to honour your opt-out and prevent accidental re-contact.

Payments

Payments, recurring membership subscriptions and Bacs Direct Debit mandates may be processed through Stripe. Bank and payment details are handled by Stripe and are not stored by More Rugby. We retain transaction references, mandate status, payment status and membership billing dates where needed to administer the service.

Photography and Video

Photographs and videos may be taken during activities. Images will only be used for website, social media, promotional or marketing purposes where explicit parental consent has been provided. Consent may be withdrawn at any time for future use.

Children's Data

We collect information about children only where necessary to provide activities safely and effectively. Parents or legal guardians are responsible for providing information on behalf of children and the accuracy of that information.

Sharing Information

We may share information with payment processors, website providers, email providers, insurers, safeguarding authorities, emergency services, law enforcement agencies, professional advisers and regulators where necessary.

International Transfers

Some service providers may process data outside the UK. Where this occurs, appropriate safeguards will be used.

Data Retention

We retain information only for as long as necessary for operational, safeguarding, insurance, legal and regulatory purposes. If you opt out of marketing, we retain the minimal suppression data required (such as your email address and opt-out status) to honour your preference and prevent re-contact.

Security

We use appropriate technical and organisational measures to protect personal information.

Your Rights

You may request access, correction, restriction, erasure, objection, portability or withdrawal of consent where applicable. Complaints may be made to the ICO (ico.org.uk).
